Position Title: Executive Assistant

Reports to: Employee Engagement Coordinator

Start Date: 5/1/25

Pay Range: $18-$22 per hour

Responsible for supporting our customers, you are the initial point of contact they connect with; you’ll need to listen and solve our customer’s needs promptly. You will also support the Team Summit Admin Team with day-to-day business activities and operations for the organization. The role of Executive Assistant will require 32 hours per week commitment in the office during the winter season and 24 hours per week during the summer season.

Duties

Administrative:

  • Phone Management: Answer main phone line, check voicemails, and respond to phone calls in a timely manner
  • Email Management: Monitoring and responding to emails in a timely manner
  • Follow up with emails and phone calls within 24 hours
  • Creating and implementing athlete form compliance (waivers, medical consent, etc.)
  • Manage financial assistance applicants
  • Coordinate the Board of Directors meeting agenda
  • Confidentiality: Maintaining discretion and confidentiality regarding sensitive information and executive matters
  • Procurement: Managing office supplies and equipment, including ordering and maintaining
  • File Management: Organizing and maintaining electronic and physical files, ensuring easy access to important documents.

Technology and Tools:

  • Operate in Demosphere (our registration platform) on a daily basis to answer customer questions
  • Camp Store: sell and inventory our camp store in the front office operated through Square
  • Send out a monthly membership newsletter through Constant Contact
